Creating a "Case Type"

How to create a "case type" for opportunity tracking

Overview

As noted in the previous guide: Creating a "Case Instance", you can create at least one Case Type for however many unique workflows fit within the theme of your Case Instance.

This article will provide the basic set-up of a case type, and link to detailed guides on in-depth customisation options you may wish to utilise.

Basic Set-Up

To create a Case Type:

  1. Navigate to *Your Case Instance* --> Manage *Your Case Instance* Types

    • In our example:

  2. Select New Prospect Type

You will be taken to a standard New Case Type screen:

  • Main fields:

    • Title: The title of the workstream that will appear in the dashboard

    • Name: The “machine name” of the case type - you can ignore this as it is set automatically

    • Instance: Defined in our Creating a "Case Instance" guide

    • Description: Details of the workflow

    • Enabled: Whether the Case Type is active or not

    • Activity Assignment Settings

      • Restrict to Groups: Activities can only be assigned to chosen group members

      • Restrict to Website Users: Activities can only be assigned to users with accounts

Case Roles tab

Here you can select which roles will be available on the records

  • Assign to Creator: select which role should be assigned to the creator of the record

  • Is Manager: Select which role will be considered the manager of the record

  • Restrict to Groups: Limit to certain groups

  • Add Role menu: Choose an existing role or create a new one within the same menu

Activity Options

In our Timelines and Sequences guide, we provide step-by-step instructions on how to implement complex activity options on a case type.

Which activity types are available in the case type generally, can be configured in the Activity Types tab:

Activity types can be added using the Add activity type menu, or new types can be added from the same menu. You can limit certain activities by number per record.
