Learn how to migrate your memberships into CiviPlus when you are already with GoCardless

Introduction

If you are already taking Membership Direct Debits using GoCardless this is the guide for you!

Steps: With GoCardless

  1. We will need to find out which method your existing sytem is currently using to manage payments with GoCardless. i.e. whether they are using subscriptions, instalments or mandate only.

  2. If you are using either a “subscription” or “instalments” then you will need to end those subscriptions or instalment plans after the final payment date before go live with CiviPlus as they won’t be needed any more as CiviPlus will manage the payments directly itself.

  3. In order to do this please raise a ticket with the GoCardless Support team to request the cancellation of your customers' subscriptions silently after the final payment date on the old system as otherwise they will get a notification of cancellation.

Steps: Within CiviPlus

The above steps will stop GoCardless itself managing the payment schedules and so we also need to migrate your memberships, payment plans and future invoices for this period into CiviPlus. As CiviPlus manages the future payments you don't need to create any subscriptions in GoCardless as long as the customers and mandates exist.

The steps for this are slightly different depending on whether you are migrating from an existing CiviCRM site or coming in from a completely different CRM or platform.

a) Migrating from a CiviCRM site using the CiviPlus migrator:

The steps below require CiviPlus version 3.4 or above. Please confirm with your account or project manager that your site is on this version before proceeding.

If migrating from another CiviCRM site using the CiviPlus migrator the steps are as follows:

  1. Before you start ensure that your CiviPlus site is setup and connected to GoCardless correctly.

  2. In advance of the final payment date you will need to prepare an import sheet with your members, membership payment plans and membership invoices on it.

  4. You will have a lot of this information already in your CiviCRM and you can easily export it. To do so you should be able to easily export such a sheet from CiviCRM by performing a contributions search >> export and selecting the relevant fields.

  5. Make sure you populate the "contact_id" with the correct contact ID's that you exported at step 4.

  6. Once populated you can import this into CiviPlus using the API CSV importer and using the "Entity to import" as "MembershipextrasImporter".

  7. Note: For customers with a managed service if you would like to perform a test import please see details on how you can do this below.

CiviPlus will import the relevant data and setup the payment plans (known as recurring contributions in CiviPlus) as well as all the future payments. CiviPlus will then attempt the next payment on the relevant payment date.

b) Migrating from a completely different CRM or platform:

The steps below require CiviPlus version 3.4 or above. Please confirm with your account or project manager that your site is on this version before proceeding.

If migrating from a completely different CRM or platform site to CiviPlus the steps are as follows:

  1. Before you start ensure that your CiviPlus site is setup and connected to GoCardless correctly.

  2. In advance of the final payment date you will need to prepare an import sheet with your members, membership payment plans and membership invoices on it.

  4. You will need to export the relevant data from your existing CRM or platform and also add the relevant mandate reference IDs.

  5. Once populated you can import this into CiviPlus using the API CSV importer and using the "Entity to import" as "MembershipextrasImporter".

  6. Once it all works you're ready for go live! Keep in mind you'll need to add any new members to your import sheet before you perform your final import.

  7. On the day of go live you'll need to first import your GoCardless data and then your CiviPlus data.

  8. Note: For customers with a managed service if you would like to perform a test import please see details on how you can do this below.

When you perform the import, CiviPlus will import the relevant data, but will also create the relevant future payments in CiviPlus, hooking everything up and your next payments should be taken seamlessly! Great job!
