Someone at your organisation has built you a report page in CiviPlus — a list of members, invoices, event bookings or whatever else your team needs to work through. It always shows current information: every time you open it, it asks CiviPlus the question again, so there is nothing to refresh or re-run.
This page explains what you can do with a report page once it is in front of you. The examples use a page called Outstanding invoices; yours will have different columns, but everything works the same way.
What can I do in CiviPlus?
Open a live list of the records your team is working through, from the menu or a bookmark.
Narrow it down with the filters at the top, and sort it by any column.
Click straight through from a row to the full record.
Download the list as a spreadsheet, or act on several rows at once.
Before you start
What this needs: a CiviPlus login, and a report page that somebody has already built and given your role access to. If you cannot find the page described here, ask whoever administers CiviPlus at your organisation — it is a permissions setting on their side, not something you can switch on.
Finding your page
Report pages usually turn up in one of three places, depending on how the person who built it set it up:
In the menu along the top — often as an item of its own, sometimes tucked under an existing menu.
On your dashboard, as a block you see when you sign in.
On a contact's record, as an extra tab — showing only that person's information.
Each page has its own web address, so once you have found yours, bookmark it.
Narrowing the list down
Any filters you have been given sit above the table. Choose a value and the table updates underneath — there is no Go or Apply to press.
Click the filter box and pick a value. On our example, choosing Event Fee under Financial Type reduces the list to event invoices only.
Clear the box again to go back to the full list.
You only get the filters the page was built with. If you find yourself needing another one every week, that is worth mentioning to your administrator — adding one is a small job.
Sorting and paging
Click any column heading to sort by it, and click again to reverse the order — useful for putting the largest amounts or the oldest dates at the top. Where a list runs to more than one page, the arrows underneath step through it.
Opening a record
Where a value appears as a link — usually the name — clicking it opens the full record, so you can see the history behind the row or make a change. Depending on how the page was set up, it may open in the same window, a new tab, or a pop-up.
Acting on the rows
Tick the box at the start of a row, or the box in the header to select everything on the page, then open the ACTION menu.
What you are offered depends on the page and on your own permissions. The two most useful are usually:
Download Spreadsheet — asks which format you want (Generic Spreadsheet (.csv), Microsoft Excel (.xlsx), OpenDocument Spreadsheet (.ods) or PDF Document (.pdf)), then downloads the rows you selected.
Email - send now (to 50 or less) — writes to the people in the rows you selected.
Read the menu before you click. This menu can include tasks that change or delete records in bulk, and they apply to every row you have ticked — including rows on screen that you did not look at closely. There is no undo. If you only wanted a list to work from, take the download and leave the rest alone.
When the page looks wrong
It's empty. Check the filters first — a filter left set from last time is the usual culprit. Clear them all and see whether rows come back.
A colleague sees more rows than you do. That is normal. CiviPlus shows each person the records they are allowed to see, so the same report can hold different numbers for different people. If you think you should be seeing more, ask your administrator about your access.
A record you expected isn't there. The page asks a specific question — "unpaid invoices", say — so a record that no longer matches drops out. An invoice that has just been paid leaving the list is the report working correctly.
You can't find the page at all. Ask your administrator: either it hasn't been shared with your role, or it has been renamed.
Checking it worked
That's it — filter it, sort it, open the records you need and download the rest. Because the page runs its question fresh each time, anything you or a colleague changes in CiviPlus shows up next time you open it. Reload the page after making a change and the row should reflect it.
