Introduction
The Self-Service Portal has a feature that allows users with appropriate permissions to view and review applications for Awards and Grants. The steps to create and configure an Award or Grant Case Type are covered here, and the steps to configure the Self-Service Portal for the Review Applications option are covered here. This article describes how to configure a Review Panel within Civi for a particular Award or Grant Case Type.
Configuring a Review Panel
In this article we are going to assume that a Grant Application Case type called
"Digital Equipment" has already been configured, along with the a set of Review Fields and a Group called "Digital Equipment Grant Review Panel".
To create a new Review Panel navigate to Grants -> Manage Grant Types where you will see a list of the current Grant Types that are enabled in the system. (Note: Your menu may be slightly different, for example it may say Awards rather than Grants.)
Choose the Grant Type that you want to add a Review Panel to and click Edit at the right of the row.
Move to the Panels tab and click ADD REVIEW PANEL to create a new one.
There are four tabs that are available to configure the Review Panel.
People tab
Give a Title for this Review Panel - in this example "Digital Equipment Review Panel".
Next, decide whether you want it to be available straight away, in which case check the Enabled box, or you can complete the configuration and enable it at a later time.
The Group or Smart Group field is where you specify the group(s) that contain the contacts who will be able to review the Grant Application in the Self-Service Portal. You can select one or more groups, and can also add group(s) containing contacts who should be excluded from the final list i.e. if a contact exists in both an "Included" group and an "Excluded" group they will not be added to the review panel. In this example we have simply chosen the group that was created earlier - "Digital Equipment Review Panel"
Now you can choose one or more Case Roles which means that any contacts assigned to the role will be added to the Panel along with the contacts from the group(s) specified in 3 above (this may be the way you decide to add add a single reviewer to a single applicant without having to use a group). The system automatically generates a case role “Has application reviewed by” which is typically used here.
The last, Contacts by Relationship to another Contact, allows you to add people to the Review Panel by virtue of their Relationship Type with a particular contact. This is seldom used.
Applications Tab
The Applicant Statuses specify the stage(s) that the Grant Application case needs to be at in order to the review request to be visible in the Self-Service Portal.
The Tags field allows you to specify that only Grant Application cases with one or more specific tags set will be visible in the Self-Service Portal. This is useful if you want to "hide" certain applications from external reviewers.
Permissions Tab
If you check the Anonymise Contacts for this Panel? option then the name of applicant will be anonymised when displayed to the reviewer in the Self-Service Portal. if unchecked the name will be shown.
By default the reviewer in the Self-Service Portal can't change the status of the Application, although they can see it. If you check Panel can change the status of an application? then the review will be able to change the status to any of the values shown in the Statuses field below.
Add the Statuses that a reviewer can change an application to. You must choose at least one of the statuses associated with this particular Case Type.
