Introduction to scheduling and advanced options

The last part of configuring a Mosaico Template is to add details about when it will be sent, and other options. You can do this when you create the template initially, or save the template as a draft and add this information later. You can also update an existing mailing template with new options.

Adding Scheduling and advanced options to the mailing

In this example we are going to update the mailing that has been created in previous articles by navigating to Mailings -> Draft and Unscheduled Mailings and clicking Continue against the Monthly Newsletter template we saved as a draft earlier. Clicking CONTINUE on the Mailing and Design tabs gets us to the Options section:

Scheduling when the mailing will be sent

There are two options for deciding when the mailing will be sent.

  1. If you select "Send immediately" and click the SUBMIT MAILING button the message will be sent to everyone in the mailing group straight away.

  2. If you select "Send on" you can specify both date and time so that the mailing is sent whenever you want.

Advanced Mailing Options

There are some other options that you may wish to configure before sending the mailing. These are shown when you click the ADVANCED MAILING OPTIONS BUTTON in four tabs:

Attachments

This Advanced Options tab allows you to add one or more files (less than 3MB each) that will be attached to the mailing when it is sent.

You can either click the "Choose files" button and select one or more files from your computer, or drag and drop then into the tab.

Response

This tab allows you to specify which messages are to be used if someone uses the Opt-Out, Subscribe and Resubscribe links that you may have included in the mailing. You can also say how you want replies to the mailing to be handled.

  1. Opt-out, Subscribe & Re-subscribe messages - There are a set of default messages that a user is sent if they click any of these mailing preference links. Your administrator can add additional messages, in which case you will see them in the drop down list.

  2. Replies - By default, if a recipient replies to a mailing the response will go to the From email address specified when the mailing was created. If you check the Track Replies option recipients' replies are sent to a CiviPlus specific address. You can also say that you want replies to be forwarded to the From email address and whether an auto-respond message should be sent, in which case you can select the message from a dropdown list.

Tracking

This advanced options tab allows you to say whether you want the clicking of any urls in mailing to be tracked.

  1. Track Click Throughs - this tracks the number of times recipients click each link in this mailing.

  2. Track Opens - tracks the number of times recipients open this mailing in their email software.

Publication

The Mailing Visibility option controls who can view the contents of this email on your website. The link can be included by inserting the "Mailing permalink" token (place it in a link when composing in HTML mode).

The options for mailing visibility are:

"Public Pages" will make the content of this mailing viewable everyone who has the permission "view public CiviMail content". Note that even people who did not receive the mailing would be able to find it via search engines.

"User and User Admin Only" means that only users that received the mailing or administrators can view this email on your website; users must be logged in to view the message.
