Editing Message Templates

How to edit CiviPlus custom and system workflow message templates

Overview

This article will explain how to edit message templates in CiviPlus. There are 2 types of Message Template:

  1. User-driven Messages - Custom Message Templates created by your users:

    • e.g. an invitation to interview

  2. System Workflow Message Templates - default templates connected to CiviPlus workflows:

    • e.g. confirmation of event registration

Mosaico templates sit outside of this, and guidance on editing these is covered in separate articles within this Mailing Templates collection.

User-driven Messages

The initial creation of these message templates is covered in our Creating a Mailing using the "Traditional" Mailing interface guide.

To return to these templates at a later date to edit them, navigate to:

Mailings --> Message Templates --> Edit

OR

Administer --> Communications --> Message Templates --> User-driven Messages

This will take you to the same screen as when creating a message template. Here you can make and save your changes.

System Workflow Message Templates

System Workflow Message Templates are located in a different area to Custom Message Templates:

Administer --> Communications --> Message Templates --> System Workflow Messages tab

Select Edit against one of these templates to amend them:

A pane will open up to edit this message template in the same way as a custom message template.

However, caution should be taken with editing these system workflow templates, given their intrinsic connection to CiviPlus workflows:

  • Test these workflows thoroughly as soon as possible after the templates are amended

  • You can use the Revert to Default option against the template if you experience errors that you cannot rectify, or if you are unsure of the impact of your edits

  • It's worth noting that if you do customise a template, it may need to be reviewed when a CivPlus update is released, as updates to the core templates may not be applied to customised templates

    • e.g. tokens may have newer formats that need to be replaced
