How to publish resources to the Self Service Portal

Publish documents to the portal's resource library — with images, downloadable files and role-based access

The Self Service Portal's Resources page is where your members browse and download the documents you publish — handbooks, journals, case studies, member offers. Each resource has an image, a description, downloadable attachments, and can be limited to specific user roles.

This page walks through publishing a resource, finding and editing existing ones, and checking what your members see. The example publishes an annual report as a PDF, visible only to current members.

This assumes the resource library is already set up and you have permission to manage resources. If not — for example the form below won't open for you — see Setting up SSP Resources in the Self Service Portal or ask your site administrator.

What can I do in CiviPlus?

  • Publish resources with an image, a rich-text description and one or more downloadable files.

  • Organise resources into categories — each resource can sit in more than one.

  • Restrict a resource (including its downloads) to specific user roles, such as Member.

  • Control the order resources appear in within their category group.

Before you start

What this needs: a staff login with the SSP Resources permissions (your administrator grants these — see the setup guide above), and the files you want to attach. Attachments can be documents, images, audio or video — PDF, DOC/DOCX, CSV, PNG, JPG, MP4, ZIP and similar.

Publish a resource

  1. Go to https://yoursite/node/add (swap in your own site's address) and choose SSP Resources. You can bookmark https://yoursite/node/add/ssp-resources to go straight to the form.

  2. On the Basic Details tab, fill in:

    • Title — required; this is the card title members see.

    • Image — shown on the resource's card and detail page. Choose the file and click Upload. The image is cropped automatically to the portal's standard sizes.

    • Body — the description shown on the resource's page.

    • SSP Resource Category — pick one or more categories. The resource is listed under each one you select.

    • Weight — sets the resource's position within its category group on the Resources page: the lowest number appears first. New resources start at -20, which puts them at the front.

  3. On the Attachments tab, click Browse next to Attach media. In the window that opens, choose your file, click Upload, then Next. Repeat to attach more than one file. Each attachment appears on the resource's page with a Download button.

  4. On the Access tab, choose who can see the resource under User Roles. authenticated user is pre-selected, which means every logged-in portal user. To restrict the resource, untick it and tick the roles that should have access instead — for example Member. Everyone else won't see the resource anywhere, and can't download its files even with a direct link.

  5. Click Save. You're returned to the portal dashboard with a confirmation message, and the resource is live straight away.

Can't see your own resource on the Resources page? Role restrictions apply to you too. If you restricted the resource to a role you don't hold — like Member — it won't appear in the portal listings for you. It saved fine: check it in the content list below, or view the portal as a member.

Find and edit existing resources

To edit or unpublish a resource, go to https://yoursite/admin/content, filter by type SSP Resources, and use the edit link on the row. This content list is also the reliable place to confirm a restricted resource saved.

Unlike SSP News and SSP Content, resources don't currently appear under Manage SSP Content in the portal user menu — use the content list above instead.

Checking it worked

Open Resources in the portal navigation as a member (or ask a colleague with the right role). The new resource appears in its category group — with Weight -20 it leads the group. Clicking the card opens the resource's page, where the attachment is listed with its Download button.

That's it — the resource is published and gated to the roles you chose. To change it later, edit it from the content list and save again.
